AIM Trial Committee Position Descriptions.

Judges Attaché 

Liaison Duties (Prior to Trial):

The Trial Coordinator will have already have secured them for the trial. You will need to Contact the judge with information that should include:

Basic trial information     

bullet

Equipment list

bullet

Ring size and any special considerations

bullet

Tentative class order

bullet

Approximate number of runs per day

bullet

Flight arrangements

bullet

Basic expenses incurred for them to come to our trial, including kenneling expenses, mileage, parking, food enroute

bullet

Request that they have a passport for international travel

bullet

Accommodation details  i.e.. smoking or nonsmoking

bullet

Find out about their special dietary needs and preferences

bullet

Request that they make the course copies (find out costs)

bullet

Check with the judge regarding the running order, classes, etc. once the premium has been finalized. Notifying them of any changes that have occurred since the first email.

Informing judge of the Judge’s Choice Award and asking them if they are interested in this presentation. If so, verify this with the Awards person for purchase of the gift.

Requesting that the course copy for the first course of the day be FAXED to Show Chair, or sent on CRCD, for set up on the Friday night.

Making the motel reservation, looking after check-in and check out, and payment.

bullet

Contacting the judge the week before the trial. This would include:

Number of exhibitors in order to prepare course copies

bullet

Details regarding the weather forecast for the weekend of the trial

bullet

Provide the details regarding their arrival at the airport

bullet

Your name, phone number, how to recognize you at the airport

bullet

An emergency name and phone contact in case they have travel difficulties enroute

bullet

Purchasing judge’s gift, card, wrapping it, and giving it to the Show Chair to present at the trial.

Purchasing food, snacks, beverages, etc. for the judge throughout the weekend. I purchased items beforehand, bringing them in a cooler for the judge at the trial.

Preparing a small “hospitality” basket to place in the motel room for use upon the judge’s arrival. It would include a few snacks, fruit, beverages.

 Attaché Duties (Weekend of the Trial):

Request a cash advance from the treasurer before the trial to cover motel payment, gift and food purchases, dinner expenses.

bullet

Pick up the judge from airport, transport them to the motel, to and from show site each day, and return trip to airport.

bullet

Accompany the judge for dinner on the Friday night, looking after all meals on Saturday and Sunday, including before, during and after the trial, and before boarding airplane

Make arrangements to have course copies made for the exhibitors if the judge does not bring them. This may have to be done the day of the trial. Master copies will be posted at the trial, in the event that copies cannot be made due to late arrival of the judge.

Escort the judge to his/her table and chair are at the trial, placing it where it works best for them, depending on the ring arrangement.

bullet

Check with the judge frequently during the trial, asking if they have any requests regarding trial ring procedure, etc. 

bullet

Check with the treasurer that the judge’s fees and expenses have been paid before the trial is over on the last day of the trial.

Prepare an expense report to be submitted with receipts to the Show Chair.

You would receive payment for your meals with the judge on the Friday and Sunday nights. You will be reimbursed for your mileage. Keep your parking stubs from the airport and submit them with your report for reimbursement.
