AIM Trial Committee Position Descriptions.

Show Chair

Must be knowledgeable of classes offered, competitor’s eligibility and rules of the agility organization.

Schedule and chair meetings of the Show Organizing Committee.

 Take and file meeting minutes.

bullet

 Maintain current job descriptions.  (Make sure everyone has an up-to-date description of their duties.  At the first meeting can go over everyone’s list of duties, especially for new volunteers.)

 Appoint the Judge’s Attache.

Coordinate all committee member’s responsibilities (especially as you get closer to the show date).  Ensure schedules are met and show is well staffed.

 Directs management of the show budget.  Responsible for payment of committee expenses.

bullet

 During the event, oversee the entire operation, keeping it on schedule.

bullet

Detail the “Rules of the trial”  (warm-up area, exercise areas, smoking policy, etc.)

Fields all questions relating to the trial.

Mediates conflicts if necessary.  The decisions of the Trial Coordinator and Judge are final. Any decisions will receive the full support of the Trial Committee.

 Schedules and trains 1-2 people to work with the judge to measure-in dogs.  (This can be done by, or in conjunction with, Show Help Chair)  Inform the Show Secretary of any changes in jump heights.  USDAA judges will measure the dogs, while NADAC judges will verify measurements close to the cut-off heights.  Have a knee pad or towel for the judge to kneel on.

 Act as back-up support for the Show Secretary with respect to scoring of events.

 Make sure the judge has a table and chair.

 Act as a liaison by introducing the judge(s) to the ring crew prior to the trial to the competitors at the start of classes.  (Can have a general briefing first thing in the morning to go over rules and introduce the judge, or introduce the judge at the fist briefing for each level.)

 Thank the competitors and judge at the end of the trial.

 Obtain and present the judge’s gift & thank-you card.

 Determine judge’s fees and ensure the money or cheque is ready for all of the judge’s expenses.   Make sure the treasurer has enough time to get a US money order if needed & has enough  money to cover other expenses such as dog sitting, taxi, airport parking, etc.  (Co-ordinate with the judge’s attache.)  The Trial secretary will help determine the judge’s fees.

 In conjunction with the Show Secretary, file the final reports and payments to the organizations within the allotted time frame.

 Prepare the final financial report (copies for the Treasurer and Club Secretary).

 Write a thank-you note for the AIM newsletter for members who helped.
