AIM Trial Committee Position Descriptions.

Show Help Coordinator

Prepare a list of jobs required for the entire show including all aspects prior to and after.

 Solicit, with the help of others, all help required at the show.

bullet

 Help slot people into the best roles based on experience, time, and their potential conflicts at the show. It’s good to have the same scribe, timekeeper and gate steward throughout a trial for a single ring.  This minimizes the amount of time a judge has to brief and train ring crew.

Train new volunteers prior to the event.  (Friday night you could have a training session and overview of trial procedures for new help.)  Have each volunteer’s duty information sheet ready to be mailed out with conformations (if they haven’t gotten them already).

 Make sure all AIM members are prepared to come early (possibly the night before) to help with set up and stay to help with take down.

 Coordinate the volunteers.  Post a work schedule and make sure volunteers are there when needed.  Manage staff during the trial.

 Provide a list of ring help & telephone numbers to the Show Chair.

bullet

 Bring or ensure the following Show Help Supplies are brought to the trial.
bullet

clip boards – 2 small (scribe), 2 large with elastics (course builders), 1 large extra 

bullet

pens & pencils, stopwatches, whistles

bullet

 2 white boards and dry erase markers, erasers, and easels

bullet

running order, scribe sheets, show help schedule, duty detail sheets

bullet

 show help gifts/donations

bullet

 clean up kit (to clean up after a dog has fouled the ring)

bullet

Coordinate with Food Committee Chair to make sure all helpers have arrangements for complimentary lunch & drinks.  Provide a list of helper’s names to the Food Committee.  Inform volunteers of the lunch procedure.

Obtain thank-you cards and gifts for all help (non members and members who aren’t running dogs).  Arrange for donation to volunteer club if required.  Make thank-you presentations before the show is over and the helpers have left.

 Keep track of members who help and those that don’t.
