AIM Trial Committee Position Descriptions.

Show Secretary

Must be knowledgeable of classes offered, competitor’s eligibility and rules of the agility organization.

Maintain inventory of the Show Secretary supplies before and after each trial.

bullet

Prepare a preliminary Premium List for approval of the agility organization if necessary.   Prepare and mail (e-mail) the official Premium List.  (add to AIM’s website).

Receive and record entries and entry fees.  (Money is forwarded to the Treasurer.  Keep track of income and expenses for the Show Chair’s financial report.)

Sort entries into jump heights and draw competitor numbers for running order.  (Snooker running order must be randomly drawn separately.  This can be done prior to the show but cannot be listed in the catalogue.)

Prepare and send Confirmation notices upon closing date. (e-mail where possible)  Include:

bullet

check-in and measure-in time and procedure, start time

bullet

running order

bullet

other info (map to site, parking, shade, lunch, dinner, specific site into, etc.)

Prepare the Trial Catalogue.  Enter all classes, rules, advertising, schedules, exhibitor list, etc.

Prepare the exhibitor packages with Catalogues, (armband numbers), baggies, cookies, treats, etc.

bullet

Send USDAA dog registrations received to USDAA, along with applicable fees.

bullet

 Prepares the day-of-the-trial check-in list.

bullet

 Make changes to the running order in case of :

height changes

bullet

scratches

bullet

move-ups for the second day of NADAC trials

bullet

*  Ensure the gate steward is aware of all changes and ensure the scribe sheet orders have been changed.

Brings to the trial all scorekeeping supplies including scribe sheets, all record keeping sheets/results catalogues, rule books, pens, pencils, rulers, highlighters, calculator, paper clips, paper weights, scotch tape, masking tape, erasers…

Work with the Site Chairperson re: location of the registration table and measuring area.

bullet

Responsible for setting up the Secretary’s table.

bullet

Ensure enough staff are scheduled and trained to record keep at the trial.  Supervise at the trial.  Scores should be posted as soon as possible.

Ensure the exhibitor course copies are set out or posted.  Keep two course copies for filing.

bullet

NADAC – bring the results catalogue up to date before the second day of the trial.  (move-ups)

bullet

Along with the Show Chair, record all necessary results and mail, along with applicable fees, to the Agility Organization within the designated time frame after the trial.  (Determine the filing fees prior to the show so the Treasurer can have a cheque ready.)

Store trial results records, registration forms, membership forms, etc.
